Project Implementation portfolio 1.0 Project Name/Title: The project involves developing an appropriate means of transportation for schools in Timor India. 1.1 Project Location: The location of the project is Timor India 1.3 Brief Description of the Project: This is a project which will involve developing an appropriate means of transportation for schools in Timor India. In order to ensure that there is ease for transport for school in Timor India the project will research on the transport needs of the schools, the transport options available and the road conditions of the various areas in the areas to be provided with transport. 1.5. Project Goals For the project to be successful there are some specific goals which will need to be identified and the necessary measures to be undertaken so as to ensure that the goals are achieved. The goals which are to be accomplished by team members who will be assigned some specific tasks are discussed below. The first goal will be surveying on the schools which are in the region of the project and the number of students who require transportation. This will involved some group members visiting the schools in the region where the project is supposed to be undertaken. This is a goal whose priority is high and to ensure that the group members accomplish this goal it is important for them to be given enough time. It will also be important for the group members to get the necessary authorisation so as to be able to get the relevant information from the school authorities. Supervision will be an important component in accomplishing this goal as this will ensure that group members make maximum use of the time given and that the members obtaining the actual data but not making approximations after failing to reach the actual schools. The second goal of the project will be assessment of the roads within the area where the transportation project is to be undertaken and establishing the modes of transport that are available in the areas. This goal will require good planning to ensure that the weather is conducive for travel so as to avoid interference by poor weather that can hamper travelling to various destinations. Enough time allocation will also be very important to accomplishing this goal in addition to supervision by the team leader and the university authority. The third goal will be to assess the transportation cost incurred by in the project area. The team members will be required to make assessment of the cost of the transport used in various areas and the contribution of the cost by lack of efficiency and scarcity of the vehicles. The reliability of the transport to the students will also be assessed and the distance the students are dropped away from the school. The safety of the mode of transport and the interference with the morals standards on the process of travel, for example through exposure to indecent music. The other goal will be for the group to have absolute control over the order and progress of work within the confines of the duration of the field course. This will be through encouraging the group members to make decision by themselves and minimizing their dependence on supervisors. 2.0 Define the criteria for use within the Peer and Self-Assessment Process. A peer/self assessment scheme will be put into use during the module. This will require each student to assess themselves and also other members of their team with their basis being their on judgement of the contribution and effort which will have been made by each member. Their will be strict penalties which will be applied in case their will be any failure to engage in the process. The assessment will be used as a base of reflecting upon the team work skills within the project. Members are expected to arrive in group meetings well on time. This will ensure that the group members get all the information discussed it the meetings and also ensure their availability in case they are required to respond to some questions. Members are expected to deliver the work which they have been assigned to the expected standard. Work of the required standard will ensure that there is a clear understanding of the various project components of all the team members. Team members are expected to be able to deliver the required information on time and ensuring that information is presented in the right format. Team members are expected to have the ability to accurately present the assigned work to the group members and giving satisfactory explanation when needed from other group members. Group member will have scores depending on their ability to help other group members. Team members will be expected to take good care of the allocated resources. This project will involve use of facilities like cameras and vehicles in the process of data collection. All this facilities will need to be taken good care off and any misuse will yield a penalty Level of discipline from group members will count. Good discipline will affect the success of the project. Team members will be expected to have respect and to be tactical so as to obtain some information from the schools that will be visited and other people they are likely to interview. 3.0 Team Charter. In this section the purpose of the team has been given with the role and responsibilities to be played by individuals in the team being reiterated. In the section the operating rules, procedures and standards for communication, reporting and decision making all have been give. 3.1 Individual Roles and Responsibilities of the Team Members. There will be assigning of team members with various tasks so as to ensure the project success. The tasks whose descriptions have been given in table B will be assigned to the team members. 3.2 Outline the Teams Operating Rules. It is expected of members to complete the assigned tasks well on time and the completed work be delivered to the member who will be expected to work on next task of the project. Suppose members need some clarification, this will be expected to be at a convenient time thus avoiding late hour request of information and disruption of other members holiday breaks. Prompt and accurate answers will be expected from team members throughout the project period. Giving of information will be expected to be done only within areas which are convenient with no risk of leakage of the information to unauthorised people. 3.3. Procedures and Standards for Communication. E-mail will be the preferred mode of communication among the team members with SMS being used in alerting team members that information has been sent to through email. Making calls to team members especially during hours which may be regarded as odd will be discouraged. It is recommended that team members to use computers in the learning institution or personal computer when accessing project information with use of public facility use being highly discouraged as this could lead to project information falling into wrong hands. Use of abbreviations that may not be easily comprehended by team members will be discouraged in communication. Team members are expected to be generous that might be useful to other team members. The team members are expected to be friendly to each other so as to ensure free flow of information. 3.5. Reporting and Decision Making for a Successful Project. There should be professional treatment of each member by the team leadership Members are expected to get information on meetings well in advance at least 24 hours to the meeting time. The group members will be encouraged to develop the culture of checking their mails frequently bearing in mind that this will be the preferred mode of communication. Last minute cancellation of meetings will be discouraged. It will be a requirement for members who because of one reason or another find it unable to attend meeting to inform the group leader in good time (at least a day to the meeting) and if possible the absentee member delegate their duties to other team member.
