?Running Head: Communication Case Analysis Communication Case Analysis [Institute’s Communication Case Analysis Introduction Inany field of life, importance of communication is at its highest peak. Communication is the bloodline of management in any organization. A phrase or moment of wrong communication may lead the entire organization into a death well. It is a practice of conveying information, concepts, beliefs, attitudes, and policies within every department of an organization (Monge et al, 250-274, 1992). However, there is a very clear difference between communication and effective communication. Effective communication is a primary influence in the fulfillment of extraordinary heights of organizational effectiveness. There is a parallel relationship between organizational effectiveness and organizational communication. Organizational communication contains countless message sending and receiving occurrences touching official communal units in which individuals work toward common goals (Monge et al, 250-274, 1992). It is rare to discover an organization that challenges to accomplish all stages of communication as a handy activity. As Gilbert Amelio once said, “developing excellent communication skills is essential for effective leadership. The leader must be able to share knowledge and ideas to transmit a sense of urgency and enthusiasm to others, and if a leader cannot get a message across clearly and motivate others to act on it, then having a message does not even matter" (Maxwell, pp. 23, 2006). Discussion These six stories are explaining the appropriate hints that would lead to the basic reason why quality management and lack of coordination in Legal Eagles is high. The importance of communication management and its significance will be clearer as story wise comparison and suggestions are as follows: Managing with Professional Politics Gossiping around is not an authentic state to make a legal opinion about an organization. For instance, in story # 1, a junior research clerk is just afraid of working over-time, he being the lower management staff is not aware of the company’s legal problems and ways to achieve the organizational goal; however, he is just concerned about his own personal goals. Organization goals are the ‘origin for recognizing the purposes of communication links, and each system consists of definite communication guidelines executed through distinct communication actions’ (Monge et al, 250-274, 1992). The effective growth of a communication inspection program is carefully reliant on upon the nature of association policies, staff employees’ competencies, and the level of common association improvement. Tardiness in workplace Story # 2 describes the impact of a newborn partnership within the organization as Charmaine is new and is very particular about the international project. She cannot bear any delay or tardiness acceptance in workplace as time management is the key factor to achieve success. In addition, it is an understanding that “Delay is the routine of postponing or setting off doing something that should be done currently” (Maxwell, pp. 40-44, 2006). “The disjointed, hurried, and unintended life is more sensitive and impulsive than intentional; it enlightens, in part, why bosses suffer strain and criticize of not ever having adequate time to do their occupation healthy” (Maxwell, pp. 39-46, 2006). Belatedness in the office has become an upsetting matter for the firms because it is touching the productivity that is the basic goal of any business. Sometimes postponements are not the results of certain exterior feature but somewhat from the staff, as is the case with Legal Eagles. It also explains that an employee who is disobedient, yelling at co-workers, or arriving to work not on time and not employed to his completed volume. The clients and customers of Legal Eagles may not be getting what they require from the company that may prove a drawback on the productivity, as well as profitability on company’s behalf. Lack of coordination Story # 3 clearly describes the mismanagement and miscommunication of the said organization as the highly confidential papers floated in the printer rather to have them in meetings that is legally and ethically wrong. It also shows the casual attitude of employees towards work and the maintenance of work quality. Hence, it describes a vivid aspect of ‘communication gap’ between top and low management. ‘There are two types of communication variables i.e. level of information and group communication’ (Dwyer, 2008), second is totally missing in this ‘Legal Eagles.’ All the staff members in a project always work in a loop and they must tie in a bond relationship in which one member relies upon other for the action to generate or for the information. Therefore, it is extremely necessary to get the right information/plan of action at the right moment. No Planned Strategy Planning is the basic principle of management. No short-term or long-term plan can compile without planning. ‘When there is a question of doing the things in an organized manner, then obviously the smartest way to conduct things in an organized way is planning’ (Maswell, pp. 40-51, 2006). The strategies of planning may be different for the type of planning. On one hand, it is not wise to believe on rival’s rumors but in the case of Legal Eagles, this impression comes with new partner that she is eagerly interested to make a push to this company without making any plan of action for poor staff that may ruin the company’s goodwill, as well as its relationship with the employees. For instance, story# 4 throws light upon the fact that rights of deserving employees should be the at the top of manager’s list and if these issues have no truth in them then these rumors may completely be investigated before implementation of a necessary action. Even, some basic rules of management are unimplemented, for instance, plan, organize, lead, and control. Hence, the mode of communication is as well important in any project or plan of action. However, technical work chiefly relates with adjacent communication together because of the countryside of this effort and because of the method, procedural employees plan their upcoming projects. Low Customer Satisfaction Assets of the company i.e., customers are the backbone of any organization and their satisfaction is an alternative way to get profit for the organization (Maswell, pp. 56-60, 2006). The secret behind any company to have its customers’ contentment for its products and services is only through the high quality of its work because quality of work cannot be challenged but if the customers were not positive about the company’s profile, its products or services, then obviously, the repute and goodwill of the company would be hit severely. This is the whole story for Legal Eagles law services that their customers are complaining on phone calls for their appointments not fulfilled at appropriate time, which is a very unprofessional behavior. In this regard, Legal Eagles’ existing work policies and administrative strategies are often not suitable in the age of high rush. In exact, old-fashioned office communication with partners and organization should be well defined, for instance, in story # 5, the clients are even not satisfied with the existing business strategies of the firm which is highly objectionable. Since customer satisfaction is the backbone for the achievement of organizational goals, customers are the assets for organizations and the feedback of this client on telephone was so much negative about the services and productivity of the Legal Eagles firm. To come out of this scenario, it is highly important for the firm to take some necessary actions by making a planned strategy for management, communication, as well as customer services department. For this purpose, performance appraisal is extremely necessary, as well as organizations make an effort to organize the doings of a number of persons in instruction to achieve mutual effort and achieve organizational goals. In the case of Legal Eagles, apparently few organizations do not believe that on the fact that as social methods whose basic building consists of associations between persons. Activities organized through effective communication, as structural membership’s concept communal sense always help the employers of the organizations to avail the opportunities to accomplish the desired purposes. Missing Practical Approach Leaders reflect to stimulate and motivate. In much of today's corporate world, that is just not the realism. Countless in administration places use their control to miffed, embarrass and yield advantage of the unprotected. It is the case with the new partner ‘Charmaine’ of Legal Eagles Company as he yelled at ‘James’ without thinking to configure or sort out this matter. Being a new partner does not mean that everything in the firm is going against oneself. Professional politics and leg pulling are the parts of business in any sector. To avoid them, one needs to be humble and sincere with the people of the firm as well as with the organization. A constant check on employee’s performance is however very important and it helps to improve organizational performance as well. An intellectual quote stated, "Communicate unto the other people that which you would want him to communicate unto you if your positions were reversed" (Dwyer, 2008). Suggestions Following are some suggestions for the Legal Eagles firm in this hour of critical time: The official harmonization of presentation in organizations is proficient through the decision-making process (Dwyer, 2008). In this case, an imposed guiding association happens, as individuals are properly prepared with arrangements to put in dwelling to describe separate privileges and responsibilities. This official association is also a social association industrialized through communication between supervisor, members, and subordinates. Briefly, it is arguable that all employees can communicate through administrative limitations using knowledge. However, it is a suggestion that technical employees will be unique in the mark to which they involve in cross communication because of nature of work they do and because of the way of planning. Among procedural workers, direction occurs principally over straight communication between unlike experts inside and through subdivisions. It is also a suggestion (Dwyer, 2008) that amplified job probability vividly linked with high satisfaction with workplace communication. The spotlight of a strategic plan is typically on the whole association, while the center of a trade plan is typically on an exacting invention, service, or agenda. There are a multiplicity of perspectives, models, and approaches used in planned planning (Hinds, pp 373-393, 1995). The system that a calculated plan is urbanized depends on the life of the organization's management, customs of the institute, density of the organization's surroundings, size of the association, knowledge of planners, etc. For example, a diversity of tactical planning models is based upon goals, objectives, motives, or issues, organic, scenario (Hinds, pp 373-393, 1995). Many organizations nowadays are busy in introducing new techniques in their organizations like balance scorecard and strategic planning that are not only helping their organizations to flourish in the new era but also helping the world to enter in globalization. Legal Eagles need to change their strategies. Concluding Remarks Concisely, conflicts in organizations arise, sometimes with a solid background and other times without any reason. Nevertheless, successful organizations manage with a little stamina of patience and intellectualism, which are the main characteristics of charismatic leaders, which are missing in ‘Legal Eagles Company’. “One of the secrets to determining a conflict can be known by analyzing the other individual’s requirements, benefits, and doubts, so you can take these into thoughtfulness in coming up with a tenacity that works for everyone. Then, too, identifying and considering the significance of a specific concern to anyone can be a reason in helping one achieve mutually satisfying determination” (Hinds, pp. 373-393, 1995. Extensive communication with equals and admittance to communal administrative evidence is necessary for employees to build processes and achieve responsibilities of this environment collaboratively. Alternatively, foreseeable tasks involve rarer communication with equals and essential admission to office communication is not as wide. As concluding remarks, there must be a big picture opinion for leaders as well as members. “No matter how frantic life gets, the most effective people in life have a big-picture observation that aids them increase above the confusion and uphold their viewpoint. A big-picture opinion is one’s overruling dream, one’s confidence, just position, of the significance of anything one’s life is all about, of what one wants it to be” (Howard, pp. 739-754, 1974). Similarly, coordination is the procedure of involving the work actions of workers. Work actions, which are connected and composed in demand for persons to achieve productivity. For example, persons employed on cooperative plans must organize work actions in demand to escape from execution-dismissed accomplishments. In addition, via communication-based coordination, persons build associations, form coalitions to segment, and gather executive material. Administrative coordination happens via diverse categories of communication among employers, employees, and management. Improvement in the level of communication not only brings productivity to the organizations but also enhances individual’s performance, one’s interest towards the organizational matters.
