To reduce these kinds of risks present in the external or internal environment the organizations need to insure its assets. Physically locking with cables and recording serial numbers can also be effective to reduce operating risks. There are burglar alarms and marking equipments for encountering the physical and environmental risks present for the company. (Taylor, R.S. (1991) Theft of equipment from premises and external outlets is also present and for reduction in such risks one of the main tools available for the company is to create a general awareness among staff. Password protection is essential for securing the leakage of data. Usage of handy equipments like laptops is only necessary if no other option is available like memory pen or CDR. Usage and awareness among employees for the fire alarms and extinguishers should be created generally. It could also reduce the risk present in environment. Equipment like portable mechanical testing is helping in reducing risk of electrical fires. Equipment should not be left on standby also. The risk of flood can be reduced by keeping all equipments in a safe distance from water supplies e.g. pipes. Equipment should also be raised off ground. ‘Flood rescue policy’ is helpful in alleviating risks present in the environment. (Ghosal, S. S.K. Kim. 1986) Power surge risks can be reduced by the usage of equipment known as ‘Uninterruptible Power Supply’ (UPS). Important equipments, in order to ensure safety from Power gush, are protected by servers, switches and routers. The important aspect of environmental scanning is that it is just a part of a larger and long-term strategic planning process. Many trends that can have an impact on organization are not included in the scanning process because it is up to the decision makers for including the required aspects and neglecting the irrelevant elements. For the creation of business opportunities a company should include best people in the scanning process. These persons may not be an important member of management but capable of participating in the scanning process. (Auster, E. Choo. W. 1992) An organization in order to reap benefits from the environment scanning process must draw a wider picture and synthesize significant and disparate information.
