Injury management System for Excel manufacturing Ltd deals with services such as, treatment to the injured employees, empowering employees to recover faster and retraining of the new skills and managing of the workers compensation under the claims as long as the injury occurred to the employee in the normal order of business for Excel manufacturing. Introduction Injury management system recognises the values of safety and health of the company employees and is committed to preventing and compensating employees who are injured and or affected by illness. The system also obeys some principles concerning the company’s objectives that include the following: Prevention of injury or illness through the provision of a safe and healthy working environment for the worker and also employer. This is the key component for the system. Ensuring that the injury management process is commenced as soon as practicable following the injury, irrespective of an injured employee’s compensation claims status. Consultation with employees and relevant parties such as employer, insurer and medical practitioner to ensure that the company’s system injury management program operates effectively and efficiently. Incident Reporting and Investigation The purpose of this procedure is to identify the duties, roles and responsibilities of workplace parties so that an effective and immediate accident/incident investigation and reporting process is in place. This will include identifying all contributing factors of the accident/incidents and hazardous situations and making the necessary recommendations to prevent the accident/incident from recurring and evaluating if the injured worker is entitle to compensation. Medical Treatment The following medical treatment options are available at Excel manufacturing ltd; Provision of first aid by the line manager should prevail and in worst situation, assistance of the injured worker/employee to get medical treatment should be done as soon as possible. The injured worker can provided with means of transport by the employer. The employer can direct the injured worker if he or she agrees so, to company doctor for the treatment of the injury. The worker has the right to choose their own treating doctor, for instance, in some cases where the injured worker has a personal doctor. The injured worker after treatment is given Work Cover medical certificates to be given to the employer to act as prove for the medical treatment procedure. Claim Forms and lodgement process 1. The worker should be provided with compensation claim form by the line manager. The lines manager can also give support to the injured worker in completing the claim form if it is necessarily required and employers report. This is followed by submission of compensation claim forms, accounts and medical certificates to the Claims coordinator. 2. In accordance with the first medical appointment, medical certificate and financial statement along with completed compensation claim form must be submitted to the line manager by the injured employee. 3. Completed compensation claim forms, financial statement and medical certificates are forwarded by Claim Coordinator to the insurer within three days of the claim being lodged by the injured worker. Key Stakeholder Communication For the injury management to be achieved the consultative approach through stakeholder from various diversifications must be done through the integrated process. The cooperation from the community resource owners together with the organisation employees and the entire management must be coordinated. The communicating party entails; injured worker, employer, nominated doctor and the insurer. These parties should be communicating effectively and efficiently. The communication also helps in the facilitation of effective understanding of responsibilities and participatory approach in the organisation for efficient injury management in the company. Return to Work process The return to work process is a mechanism in which the company put in place use for ensuring the injured employee is being monitored by the Return to Work Coordinator through recovery period for enhancing commitment to assist the injured person to access necessary treatment and rehabilitation which will enhance quick recovery, duties and facilitating achievement of the organisation objectives and goals. This would consist of setting up some treaties, agreements and time limited plan stating suitable duties, restrictions, time of the day worked, and supervision arrangements. This provision must be regularly monitored and reviewed. Injury Management Plan This is a situation where the welfare of an in injured worker is being monitored. Injury management plan must be done under the following guidelines to enable implementation of a good supervision plan: 1. Employee’s details: Injury management plan should be adhered to by the employee or any logical request made by the injury management coordinator. Workers details should contain the name of the worker, date of birth, occupation, current work status, diagnosis/injury, date of injury etc. 2. Details of employer: Cooperation in the establishment of injury management plan and keeping workers job open for 12 months is the employer’s responsibility. He or she should also ensure provision of suitable alternate duties for the employees. The employer’s details should include name, address and contacts for efficient communication within the injury management system. 3. Appointed treating doctor: The treatment doctor must comply with the medical certificate to participate in the establishment of injury management plan. His/her Name, address and other form of contacts should be included. 4. Insurer details: The insurer must oversee the development of the injury management plan when injuries are significant. The name of the insurer, injury management coordinator and claims manager should be included against their addresses and contacts. 5. Health and medical management: This is done under the following program guideline: (a) Chief treatment and medical practitioner assessments: Treatment proposed, any health check management details and the period of the plan including plan reviews ought to be noted. (b) Specialist reviews: Outcomes within the life of the plan, specialist referrals and reviews plan should be noted. (c) Examination including medical treatment to date /other diagnostics: This entails medical examinations, any x-rays or scans, blood test et cetera, referrals for any health treatment or specialist opinion and hospitalization. (d) Therapeutic services: It entails medical referrals and investigations not covered by Chief treating medical practitioner or specialist. Approved Rehabilitation Providers Approved Rehabilitation Providers is an accomplished process involving early intervention with competent, adequate and suitable services based on assessed need, and which is aimed at upholding incapacitated or ill employees in, or returning them to, suitable service. This has been developed to provide employees and companies with information concerning the role and services of qualified rehabilitation providers, with the aim of promoting active participation in a safe return to work. The rehabilitation process also contributes by recognizing and scheming suitable duties for the employee to assist the company to meet their commitments in providing appropriate employment. Also helps in identifying and coordinating rehabilitation policies that ensure the personnel able to securely perform their duties. Also applies in forging the association between the insurer, company and treatment providers to ensure incorporation of all injury management activities and a focus on return to work. Communication with Insurer Contact between the Human Resource manager and the insurer should be maintained particularly in the case of considerable changes which may arise, for instance, Changes in medical status and work capacity of the worker. Management of claim and communication of critical claim decision to the Human resource manager and the employee should be done by the insurer. Claims review should be done on a regular basis. Issue Resolution Can also be termed as internal resolution procedures, whereby all the matters arising from the injury management system should be addressed here. The steps for the employee and the line manager to resolve these arising issues is also outlined under issue resolution, that is, if the injured worker or employee has an issue as far as the claims and compensation is concerned, it should be resolved first with the line manager and if the line manager has an issue with the worker it is appropriate that it should be discussed with the worker and if it is not resolved, then the matter is referred to the Human Resource manager for resolution. Documentation Documentation is the process of providing physical evidence or confirmation such as written contracts that explain the rights duties and responsibilities of each party involved that is worker, employer and the insurer. All the documentation of the injury management plan is being done by the line manager by making the copies and updates available for the injured worker, Human Resource manager, the insurer and the medical practitioner. Conclusion The policy should be imposed or to be made obligatory in companies or institutions since its main aim is commitment to provision of injury management support to all employees or workers who sustain injury or illness with the focus of safe and early return to meaningful work and in accordance with the Workers Compensation and Injury Management Act 1981, hence providing a safety working environment and ensuring that the health of the workers in a given the priority it deserves.
