MANAGEMENT COMMUNICATION By Name Course Instructor Institution City/State Date Management communication A1 The three environmental cues that could influence my communication expectations include noise, colours, and texture. Noise: Communication effectiveness can be influenced profoundly by background noise in a number of ways. For instance, it can prevent the audience from hearing what the speaker is saying. Besides that, noise can result in misunderstanding and mishearing in communication, which consequently can result in anxiety and stress. Basically, noise interference in communication may lead to major social consequences, particularly for individuals who cannot hear and could negatively influence safety (Brammer & Laroche, 2012, p.281). Colours: They are considered as a crucial and powerful tool of communication, and are associated with social, cultural, religious, as well as political influences. As a non-verbal form of communication, colour meaning could change from one day to another with any person. For instance, an individual could decide to wear red with the objective of indicating that red is their favourite colour (personality). Red could also connote anger, preparedness to make a decision or passionate of the day’s activity. Texture: It is a quality normally experienced by means of touch. Textures deemed real are those people can touch as well as feel. More importantly, texture helps to describe the object's detail visually, and enable us to comprehend what makes an object. In communication, texture enables the speaker to understand and recognise the environment features wherein his/her exists. A2 Definitely, a communicator has a responsibility to the audience and vice versa. As mentioned by University of Canberra (2013), the communicators are responsible not just being prepared but also conducting themselves ethically. When a communicator is prepared, it means that he/she is clear, organised, punctual, and concise. On the other hand, being ethical is about being trustworthy, respectful, and egalitarian. The responsibility of the communicator to the audience includes preparing an accurate, clear, fair and thoughtful speech, which addresses the interests of the. The speech should accomplish objectives that are beneficial to both the speaker and the audience. In addition, the communicator should make certain that the speech is delivered with much passion and all developments and events should be handled in real-time. On the other hand, the responsibilities of the audience to the speaker include showing up not just physically, but also emotionally and mentally. Furthermore, the audience should ensure there is engagement between them and the communicator by asking questions. They should listen actively and examine the intent and message of the communicator and also offer input where suitable. In addition, the audience has ethical responsibilities; they are expected to conduct themselves courteously and respectfully. A3 I think thought influences the use of language because when a person uses the latter, he/she is obliged to specify particular forms of information. Thought forces a person to become attentive to particular language details. As mentioned by Deutscher (2010), the speech habits are often cultured from an early age; therefore, it is normal that though the influence is beyond language because it affects the person’s memories, associations, perceptions, experiences, as well as feelings. The way people think about the world is often influenced by language in what is commonly referred as linguistic relativity. For instance, all languages have different distinctions for colour, in a number of languages blue and green are not considered as different colours, but instead as the same colour with different shades. The phrase xanh in Vietnamese is a colour not just for the sky, but also tree leaves. Therefore, when a vocabulary is slightly changed, it can immensely influence the way a person perceives the world. A4 Self-concept can be defined as a person’s assumptions, hypotheses as well as self-beliefs. That is to say, a person’s self-concept is the entirety of opinions that a person considers it is true regarding their existence. Language affect self-concept in the sense that the levels of self-concept are inclined to become higher in the early stages of learning language. For instance, Arnaiz and Guillen (2012, p.87) posits that the anxiety levels amongst the language learners were somehow higher, especially when speaking a foreign language. The authors observed that when communicating foreign language, higher level learners were more anxious as compared to the lower level learners because their sensitivity is exceedingly high to variance between the actual messages and their mature thoughts. For instance, a Chinese Student at the university of Canberra speaking English as a second language is inclined to become more anxious when answering a question in the classroom. As they advance their language mastery, foreign language speakers start realising their weaknesses and limitations. When a person becomes anxious about their ability to speak a certain language, they are inclined to experience challenges when trying to provide a comfortable communication atmosphere to his/her audience. A5 A message as pointed out by University of Canberra (2013, p.44) could be divided into a five-part structure; attention statement, introduction, body, conclusion, as well as the residual message. Attention Statement: The article grabs the attention of the readers by its headline that growth of population offers Australians misleading economic picture. Introduction: Chang (2016) introduces the article by comparing Australia with countries with regard to population growth and the overall picture of the economy. The author cites a recently released report that shows the growth of population was beneficial to the economy, but the influence on the majority of ordinary Australians was inconsequential. Body: The author gives details about the growth of the Australian economy, which is assisted massively by population growth and the increase of the export. According to the author, the growth of Australia’s population is higher as compared to other OECD economies. This is a positive sign for the country’s business and GDP due to the capitalisation on the increasing customer base. Still, the author gives some information regarding underemployment, which has been increasing progressively. He also maintains that traffic congestion and house affordability across Australia’s cities have gone downhill. Although selling more natural gas, coal and iron ore has positively influenced the economy, the author insists that failure to generate sufficient income puts Australia in a compromising situation. Conclusion: The author concludes by emphasising the need for policymakers to pay attention to the deteriorating living standards amongst Australia. Residual message: The author insists that Australia needs more funding for infrastructure so as to reduce traffic congestion as well as improve housing affordability. For the Australian government to maintain the increasing population growth, it must increase its public infrastructure investment. A6 Doublespeak can be defined as the intentional use of words to change, obscure, or disguise meaning (University of Canberra, 2013, p.59). Doublespeak cannot be justified because it poses a threat to the wellbeing of the people. Doublespeak is deliberate and dangerous since it can infect and ultimately destroy communication between social groups and people. Corrupting the language function can result in far-reaching and serious consequences. Doublespeak has become persuasive to the extent that it is considered the cornerstone of the political realm, with speakers and listeners certain that they actually fathom the language. Doublespeak is prevalent in the political world, and has made people believe that politicians are not liars and their illegal acts are considered ‘inappropriate actions’. Doublespeak can be evidenced by former United States President; Jimmy Carter who in 1980 called the aborted raid that sought to free the Americans held hostages in Teheran as a complete success and believed that his statement had communicated the views of the American people. Similarly, Ronald Reagan tried to make Americans believe that increasing the budget for building new weapons could help reduce the number of weapons across the globe. A7 Signposting can be described as a method that enables audience or reader follows the meaning of what is communicated by the speaker. Signposts are important because they enable the speakers to organise what they will communicate to their audiences. Thanks to signposting, the audience can effectively follow the meaning of what the speaker is communicating all through the conversation. While watching ‘TED Talks,’ a presenter sharing how to improve fuel efficiency used a number of signposts. For instance, when introducing his idea, he started by saying “this presentation is about.” During the presentation, he used numerous signposts such as, furthermore, having established, besides that, another school of thought, in contrast, however, and having said that. When summarising his presentation, the presenter used some signposts such as, to sum up, evidently, and as mentioned earlier. Clearly, signposts used by the presenter drew my attention and maintained my attention all through the presentation. A8 In their book on fashion, Keiser and Garner (2012) use a number of jargons such as Prêt-à-porter, which according to them is a term for mass-produced or factory-made clothing, sold in standard sizes as well as finished condition. Another jargon used in the book is Haute Couture, used to connote the making of exclusive clothing that is custom-fitted. In the book, Fast Fashion has been described as a model utilised by retailers to distribute fashion design trends both cheaply as well as swiftly to a mass audience. High Fashion is another jargon used in the book, which has the same meaning as Haute Couture, making custom-fitted clothing. As mentioned by the authors, LBD is commonly used in the fashion industry, and it is the short form of Little Black Dress, a cocktail or evening dress quite short and cut minimally designed purposely to last long, be affordable, versatile, and available to many. The authors enable the readers to understand many fashion jargons by offering a comprehensive description of each jargon. For instance, they describe Warp & Weft to describe the process of creating clothing, whereby warp connotes weaving and weft denote woof. Off-the-peg and Off-the-rack have been used to describe the mass production of clothes. A9 Self-concept influences my writing in terms of writing apprehension, perceived writing value, and previous achievements in writing. As observed by Pajares and Valiante (1999, p.290), girls have high writing competency as compared to boys. Pajares and Valiante (1999, p.290) further observed that writing task enhances the writer’s general functioning, physiological functioning, psychological well-being, as well as physical health. Self-concept influence some people’s writing; for instance, some people believe that writing makes them feel less adequate. Besides that, self-concept determines the ability of the writer to spell correctly every word in a composition or a one-page story. Students who do not value their writing accomplishments are often confident with regard to their writing but often lack the positive self-worth feelings. Self-concept in writing brings about the judgments of self-worth related to the writer’s self-perception. Still, there is a considerable relationship between writing and verbal self-concept, but this often favours girls, and such gender differences could exist at very early ages (Pajares & Valiante, 1999, p.392). A10 A Self-Fulfilling Prophecy can be described as the process of predicting the causes itself to come true because the prediction was made. Normally, this takes place because people’s beliefs have an effect on their actions. Normally, self-fulfilling prophecies result in adverse outcomes. For instance, expecting something to happen can result in serious consequences, like scarcity of goods and food, bankruptcies, stock-markets’ pressures, and could even result in wars. When acting on a false rumour such as the imminent decline of stocks, people are inclined to purchase the stocks in large quantities. Even if they were acting on false rumours, purchasing stocks in large quantities would make the rumours true since stocks quantity would reduce as a result of the increased purchase. Placebo effect is another example of self-fulfilling prophecy, which is felt health improvement, but generally not associated with the medication or the treatment being offered. Rather, the belief of the patient that the treatment would improve their immune system could result in faster recovery. A11 Demonstrably, perception is an active process that constructs reality. People construct how they choose to perceive the world. The observer’s perception relies on his/her own perceptions as well as assumptions. We normally make assumptions regarding what is communicated by other people (University of Canberra, 2013, p.89). Every person has a limit, and our five senses have restrictions. For instance, how we express and interpret thinks surrounding us, how we think, and language limit our perceptions. For instance, a person cannot use language to express things that surround them extensively. Since the number of symbols that connect with the words are not sufficient to enable us to comprehend what surrounds us to the largest extent. People can choose how to perceive things; for example, in case something happened in my life, I have the choice regarding the way to respond to the event. When something tragic happens, such as an accident, the person has a choice can choose how to perceive the situation. A person can perceive the situation as tragic or inspiring. A12 Listening according to University of Canberra (2012, p.63) is not accidental; instead, it is focused and purposeful. For this reason, it needs both effort and motivation. People utilise different styles of listening, depends on their purpose as well as preferences. Appreciative Listening: The people listen purposefully to sounds they appreciate. It can be used to so many situations or people, but the audience cares more about the speaker’s overall impression rather than the presentation. Empathic Listening: It is a way of responding and listening to another person which consequently leads to the improvement of trust as well as mutual understanding. Advantages include reduced tensions, ability to build respect and trusts, allows the audience to release their emotions, and creates an encouraging environment that facilitates collaborative problem solving. The disadvantage is that the listener has to listen to learn and also try to become empathetic. Selective Listening: The listener is somewhat biased in what they are listening, and it is an indication of a failing. The advantage is the listener selects what he/she wants to hear while the disadvantage is that it is biased. Critical Listening: The objective is to scrutinise or evaluate what the speaker is saying. One of its advantages includes the ability of the learner to align what they hear with what they already believe or know. The disadvantage of this style of listening is that the audience must listen critically to gain knowledge of what is being communicated. A13 Psychological noise negatively influences communications since it impairs the message reception. Furthermore, it affects effective communication through impacting the ability of the mind to understand as well as interpret the communicated message. Some of the strategies that I can use to reduce the effects of psychological noise include: communicating the message repeatedly in order to facilitate the message reception as well as offer clarity to the audience and enable them to comprehend the underlying message. Another strategy is communicating the message in environments where there is less psychological noise such as white space in the magazine advertisements. Utilising teasers can help overcome the psychological noise problem and enable the communicator to gain a an audience that is more attentive. Other strategies include encouraging the audience to offer feedback and targeting the right audience for the message. A14 Referring to the text message in figure one, I cannot send that message to my lecturer because the language between us should be formal. The text is written in a colloquial language, which is an informal way of communicating but cannot be used in a formal situation. Using colloquial language in a text makes the message come out as a spoken conversation instead of a formal writing piece. Furthermore, it has a sense of casualness, which could change the tone and possibly generate a sense of connection with the student for the lecturer. Figure One: the University of Canberra (2013, p.137 When a lecture develops some expectations at the start of the school year for his/her students having resembling attributes, the lecture is inclined to have normatively low or high expectations for every student. That is to say, the normative expectations regarding the communication between student and professor are more associated closely with their professor beliefs individual characteristics, as well as self-efficacy as compared to student characteristics. A professor whose normative expectations are high or low, he/she is inclined to promote student achievement and influence the adjusting instructional practice. Professor with low expectation teachers can be helped to and optimise their strategies of teaching as well as generate their pedagogical beliefs. A15 While presenting a scientific topic on ways of reducing greenhouse emissions in the automotive industry to automotive professionals and the larger academic community, the choice of words, as well as the use of language, will be different for both audiences. Automotive professionals: While presenting the topic to the professionals, I am inclined to assume that they understand the terminologies and jargons common in the automotive field. Furthermore, this kind of audience would expect the presenter to make a flawless presentation in the vocabulary and style that is common to the automotive field. The larger academic community: Making a presentation to the larger academic community is not the same as presenting to professionals. In this case, the audience is not likely to understand terminologies and jargons associated with the automotive industry. Instead, the audience would expect the presenter to use language that can be understood by all and sundry. The presenter is supposed to pay attention not only to language, but also style commonly utilised by academics. More importantly, this kind of audience would expect the presenter to cite recognised experts in the automotive studies and also to make some new contributions to the established body of knowledge. A16 This sales letters targets the Chinese buyers and seeks to arouse their interest and motivate them to buy the product. In the Chinese culture, building a personal relationship between the addressee and the reader is considered to be very important. Therefore, using ‘guanxi’ in order to promote products to the Chinese buyers has become very crucial for business success. Guanxi is a concept of building relationships and is considered important because it enables the seller to understand a number of Chinese cultural norms before writing the sales letters. 11 December 2016 Dear customers, Special offer of New Milk-A Product       We have continuously been seeking ways to improve our services to you. Thanking You, Sincerely, Grace Reggie A18 I would like to offer meat products to KFC, Woolworth, and the Gourmet Sausage Company. The meat products that the company would be supplying to these three companies range from pork, beef, poultry as well as rabbit. Besides that, the company will be offering semi-cooked as well as processed products such as bacon, sausages, meat loaf, and cutlet-mix. The meat products will be supplied to KFC because the company has a catalogue of wholesale beef selections, which includes meatballs, kebab, hot dogs, burger and so forth. The company also rely on high-quality poultry products to satisfy the needs of its customers. Give that the company is able to abide by KFC’s Supplier Code of Conduct; KFC is a more viable market for the meat products. Woolworths is another viable customer for the meat products since it offers different types of meat products to its customers. The supermarket has a butcher who provides customers with meat cuts that suit their needs. The meat products sold at Woolworths include beef, minced meat, chicken, organic meat, rissoles, burgers, and sausages. Woolworths is a suitable customer because it has stringent hygiene standards, place a high priority on animal welfare, and always specify the grade of all meat products sold to the customers. The Gourmet Sausage Company is another viable customer for the meat products since they make speciality, international and traditional sausages out of meat products. The company can source its meat our company tin order to ensure that their sausages are fresh. A19 Basically, the length of almost all resumes must be less than one page, but longer resumes are justified for certain fields like the international development. As mentioned by Richardson (2015) longer resumes are justified for individuals have made many shifts in the employment field to the extent that two-page limit would be constraining: since they will have lots of information to include while writing the resume. Furthermore, a long resume is justifiable for job seekers that have a ‘product profile’; that is, they have diverse experience as well as skills, particularly job seekers finding it challenging, to sum up their various talents devoid of leaving out those considered to be attractive selling points. For this reason, a long resume can be justified to individuals who have much employment experiences such as volunteer work, community activities, and on-job training activities. More importantly, a long resume can be used by job seekers who have previously have worked ass executive or senior-level managers. Their resume is inclined to become longer because they would likely include their leadership accomplishments, integrity, ethics, research experience, and so forth. A20 While preparing a speech for a diverse audience, the speaker should welcome cultural differences and diversity and embrace the prospect of sharing his/her message in a unique way. The speaker’s message should embrace ‘otherness’ and should effectively integrate some culture and language in his/her presentation. The speaker should learn the terminology, suitable norms, and culture of his audience. This can be evidenced by speech that president Obama made at Cairo University exhibited some respect to the host audience and sensitivity to Muslim culture. He utilised the salutation commonly utilised by the Muslims, ‘assalaamu alaykum’ (Dhanesh, 2012, p.3). Pope Francis also tries to use at least one word from the host culture to demonstrate that he respects the host country’s culture. A21 Considering rhetorical situation is very important because it is a useful concept that helps a writer to develop (University of Canberra, 2013, p.462). The rhetorical situation allows writers to learn ways of crafting their messages before making a presentation. For this reason, the rhetoric situation is considered to be crucial since it allows people to comprehend the audience nature as well as disposition and the general state of the world afar the common context of the day-to-day life. Furthermore, rhetoric situation allows the speaker to fathom the overall process involved in making a speech; therefore, facilitates step by step preparation of speech and focus on the task ahead. A22 The focus of the informative speech regarding tattoo will be on the different forms of contemporary and prehistoric body modifications and why tattoos are still popular in modern-day society. For the middle school children, as a speaker, I would have to ensure that the speech is not only simple but very clear. The speaker should not use formal language to communicate the message to the children; instead, he should use conversational language. The speech should be brief and should be integrated with the children’s experience. For a group of college students, the informative speech should take consideration that youths are well conversant with tattoos; therefore, the speaker should ensure he shares what is not known and make sure the audience are given an opportunity to share their view. Imperatively, the speaker should at all times remain non-biased considering that the minds of young people can take hold of an idea from the speech and then create their perceptions with the view to the notion. A23 Without a doubt, organising a presentation certainly involve ethics, particularly with regard to sincerity given that a speaker who is morally responsible must ensure that whatever he presents is his/her own words. Besides that, making a presentation with phrases that humiliate other people because of their sexual orientation ethnicity, or religion can negatively influence some members of the audience. The speakers should treat all members of the audience with dignity and respect. Name-calling and utilisation of abusive language while making a presentation can lead to some ethical issues. Presenting speech that contains misinformation and deceits pose serious ethical issues. A24 Speech Link; https://www.youtube.com/watch?v=I47Y6VHc3Ms A public speech “I Have a Dream” delivered by Martin Luther King (Jr.) in 1963 is considered as the greatest speech of all time. Attention statement: ‘Emancipation proclamation’ that freed black people from slavery. Introduction: Martin Luther expresses introduces his speech by exhibiting his happiness to join fellow demonstrates for the push of their freedom. He reminds the government of the momentous decree which was signed to give the black people freedom Body: He emphasises the need for solving the urgency of the moment, and maintains that business will not be normal until black people are liberated and given equal rights as the majority whites. Conclusion: He concludes his speech with the hope that the black people will become free eventually and freedom will ring all through America. The residual message: white and black Americans will eventually join hands and sing together ‘Free at last’. A25 Using Contrast Principle Greetings, I am Richard and my objective is to demonstrate to you how social media sites have become beneficial than the short messaging services (SMS). Social media sites such as Facebook, Twitter, and LinkedIn have transformed my life because they offer me a platform to communicate with my family and friends. Besides that, they enable me to create improved relationships with other online users. Sending SMS is costly because every text is charged a certain amount, but on Facebook sending a message is absolutely free. Thank You. Using Time Principle Greetings, My name is Richard, my objective here today is to demonstrate why the advent of social media is the best invention of all times. Prior to social media, life was somewhat challenging since communication was very difficult. Nowadays, people utilise social media to meet virtually instead of physically.
