Over the last three years the company has been faced by various issues such as: poor service delivery, and short temperedness of recruitment agent, staff turnover, decline in successful job placements and lack of confidentiality. To tackle these problems the firm has decided to develop, facilitate and implement a code of conduct which will aid in solving these issues. Code of ethics statement The staffs of ABC are expected to uphold the maximum principles of conduct while on duty and off duty. Employees who supposedly consign a rule breach shall be faced with a punitive action according to measures within this decree. Code of ethics Objectives This code of conduct aims at: Explaining the penalty of violation of the conduct Explain to employees what is expected of them in other policies and procedures outlining the expected conduct of employees Outlining the punitive procedure to be adhered to if a breach was to occur. Code of conduct The code applies to all employees in ABC Company. The code of conduct emphasizes: That employees ought to be treated fairly and impartially An avenue for determining breaches of rules and regulations. The ethical duties and expectations of all the staff to act in agreement with the standard of demeanor and honesty. Equity and justice ABC Company is dedicated in offering a secure atmosphere for the employees in the organisation and the understanding of their contributions to the attainment of the organisation mission. Integrity and honesty The employees must act at all times: operate with the maximum level of honesty and integrity Not steal or embezzle Not use data gained through illegal access to data (Larry & Philips, 2003). Respect for people All information and data treated to the employees and customers will be treated in the right manner and their will be no disclosure of the information outside the business premises (Bowie & Werhane, 2005). The employees will also be expected to maintain high level of confidentiality of customer’s information. Personal conduct Employees must at all times act in a way that promotes trust, assurance and kindness. The employees will therefore: Obey the rules desist from conduct that may prejudice work performance Compliance The employees are expected to uphold all rules set out ABC Company. Employees ought to adhere to the organisations declaration of compliance values. Safety Employees are expected to conform to ABC’s safety policies and processes. Employees must ensure their safety and the safety of fellow employees. Confidentiality Confidential information related to the employees and customers is not accessible by unauthorized individuals. The employees must: Recognize that data they posses are confidential or not. Treat private information as highly confidential Ensure appropriate approval to information Not do disclose confidential information to individuals without authorization. An analysis of the current situation in the organisation shows that there is an urgent need for a code of conduct. Some of the issues that have necessitated the need of a code of conduct in our organisation are economic downturn, poor service delivery, and short temperedness of recruitment agent, a high level of staff turnover, decline in successful job placements and lack of confidentiality of the customer’s information. The purpose of this memo is to inform all the staff members of the implementation of a code of conduct in the organisation. Unless a code of conduct been implemented, the company may experience closure due to certain aspects which have totally led to the decline in the level of customers in the organisation which will have a direct impact on the organisation. A code of conduct in most cases is termed as a vital aspect in the establishment of a business. Thus it is necessary for a business to have a code of conduct to prevent it from failing. The code of conduct will offer the outlined benefits to ABC Recruitment Company: Offer clear and concise direction to directors and staff of what is expected from them. offer new staff members with moral direction and a sense of familiar uniqueness improve organisation status and instigate public assurance hint to consumers and workers the firms prospect of right conduct Uphold a culture of superiority by signifying the dedication of the organisation to moral actions and conduct. The date of implementation of the code of conduct is 1st march, 2012. Measures related to breach of the code of conduct will be punishable from the day that the code of conduct will be implemented and henceforth. All employees in the organisation will have to adhere with the code of conduct and if there is a breach of the code of conduct certain disciplinary measures will be taken. Based on the code of conduct unethical behavior will not be tolerated within the organisation and the employees must at all times whether on-duty or off-duty adhere to the set code of conduct. Certain measures will be taken towards any employee who disobeys the set code of conduct. The first measure will involve an informal warning to the employee. This will be the first measure where an employee will be informed about the disobedience of the code of conduct informally in that there will be no written information related to the warning. The other measure will be a first formal warning which will be followed closely by the second formal warning is the employee does not change. The formal warnings will notify the employees: What characteristic of the code has been breached. What feature an individual behavior is intolerable What action and demeanor is suitable or what enhancements are essential The span of time within which enhancement is requisite Any clarification known to the worker That he/ she is being formally cautioned allusion to any earlier formal warnings The action to be taken if there will be no improvement from the staff for example a further warning or dismissal from the organisation. The time frame of the warning The last measure will be dismissal with notice. This action will be applied in cases where intolerable actions or unacceptable work performance continues subsequent to all formal warning under all situations. Attached to this memo is the code of conduct which clearly explains what is expected of all current and prospective employees of the firm in terms of behavior and what may occur in instances that the code of conduct is not adhered to. By the implementation of the code of conduct within the organisation we will be able to set the expected ethical behavior of the both the prospective and current employees of the organization. The development and implementation of the code of conduct will also assist the firm in attracting more customers, reducing the level of staff turnover and maintaining a better position in the market place which will later enable the sustainability of the business.
